How to get started using Fresh KDS with Lightspeed

Before you begin, you'll need the following:  

  • Fresh KDS Account.
  • Strong Wi-Fi Connection.
  • Assigned Static IP address for your tablet (Strongly Recommended)
    A Static IP address will prevent your tablet's IP address from changing. If your IP address changes, your Point of Sale could disconnect from Fresh KDS.
*Note: Fresh KDS will not work if you use your Lightspeed device as a hotspot.

Step 1: Download the Fresh KDS App.

1. Download the Fresh KDS App onto your dedicated tablet.

2. Open the Fresh KDS app, and log in using your account credentials.

3. Give your KDS screen a descriptive name. E.g. Espresso, Salad Bar, or ToGo.

  • Using multiple screens? Be sure to include the station in the name.

4. Select ‘Lightspeed K’ as your POS system.

Please note: On your first login, the system may ask to allow communication over the local network. Access to the local network is required to display orders from your POS on Fresh KDS.

Step 2: Assign a Static IP Address for your Fresh KDS tablet.

When using Fresh KDS with Lightspeed, Fresh KDS will work like a standard physical printer. Lightspeed requires all printers to be configured with a static IP address.

The static IP address will be used in the below steps for configuring Fresh KDS as a Printer Station in Lightspeed.

Step 3: Configure Fresh KDS as a Printer in Lightspeed. (4 Parts)

Before you begin, ensure your Fresh KDS tablet and Lightspeed device are connected to the same Wi-Fi network.

Part 1: Add a Printer

1. From the Lightspeed K Back Office, navigate to Configuration - Printing - Printers.

2. Select ‘+Add Printer.’

3. Enter the following Fresh KDS device details.

  • Name: KDS Name.
  • Static IP Address: As noted from Step 2.
  • Hardware Address: Leave blank.
  • Driver: Select Epson TM-T88 (or compatible). Do not select either checkbox.

4. Click ‘Save.’

Part 2: Configure a Printing Profile

1. From the Lightspeed K Back Office, navigate to Configuration - Printing - Printing profiles.

2. Select ‘+Add Profile.’

3. Enter the following profile details.

  • Name: Profile Name.
  • Copies: Set to 1. For orders to only send to the KDS once.
  • Printer: Select the Printer added in Part 1.

Click ‘Save.’

Part 3: Add a Production Center

1. From the Lightspeed K Back Office, navigate to Configuration - Printing - Production centers.

2. Select ‘+ Add Production Center.’

3. Enter the following production center details.

  • Name: Production Center Name.
  • Printer Profile: Select the printer profile added in Part 2.
  • Supported Order Types: Select which order types to send to the KDS.*
  • Select any applicable checkboxes. We recommend unchecking ‘print wider lines’ & selecting the ‘small’ font size to avoid unwanted line breaks.

4. Click ‘Save.’

Part 4: Configure Accounting Groups for Routing

1. From the Lightspeed K Back Office, navigate to Menu Management - Accounting Groups.

2. Click ‘Edit’ next to the existing accounting group to configure.

3. On the accounting group settings page, under production center, select the KDS Production Center added in Part 3.  

4. Click ‘Save.’

*Note: Follow the 4-part printer configuration for each Lightspeed K device that sends orders to your kitchen.

To verify the printer configuration, run a test print in the Lightspeed K POS App.

  1. Launch the Lightspeed K App on your Lightspeed POS device.
  2. From the home screen, navigate to Settings - Control Center.
  3. A message will display saying ‘A new configuration is available.’ Tap to reload the configuration to apply the updated changes.
  4. Navigate back to Settings - Printing Center.
  5. KDS screens will be listed under Configured Printers. Tap each printer to send a test order and verify the connection.

Step 4: Place your Fresh KDS tablet in the kitchen.

1. Choose where to place your Fresh KDS screen.

  • Some place it right above a prep station.
  • Others find that mounting it on a nearby wall with a waterproof case is best

2. If using multiple screens, be sure the name matches the station placement.

Step 5: Train your staff & profit! 💸

1. Show how to mark items as complete & how to clear tickets.

  • Tap to cross out items as complete.
  • Tap the ticket header to clear and remove it from the screen.

2. Show how to recall orders.

  • Tap the recall button located on the left navigation bar.
